Introduction
Look, we get it - privacy policies can be a real slog to read through. But here's the thing: we actually care about your information and want you to understand what happens with it. At Frosthal Quinth Architecture, we've been designing spaces in Vancouver since we started, and we approach data privacy the same way we approach our projects - with transparency and respect.
This policy covers what info we collect when you visit our site, reach out for a consultation, or work with us on a project. We're not here to sell your data or bombard you with stuff you don't want. We just want to do good work and keep your trust.
What Information We Collect
Personal Information
When you fill out our contact form or give us a call about a potential project, we'll collect basics like your name, email, phone number, and property address. If we're working together on a design, we'll obviously need more detailed info about your project requirements, budget ranges, and timeline preferences. Nothing creepy - just what we need to actually help you.
Technical Data
Our website collects standard technical stuff - IP addresses, browser types, device info, and how you navigate through our site. This helps us figure out if our portfolio loads properly on mobile or if something's broken. We're architects, not data scientists, so we keep this simple.
Project Documentation
During active projects, we'll handle architectural drawings, site photos, property documents, and correspondence. This stuff stays confidential and secure - we treat it like we'd want our own project info treated.
How We Actually Use Your Data
Here's the straight talk on what we do with your information:
- Project Work: Obviously, we use it to design your space, communicate about the project, coordinate with contractors, and handle all the architectural services you're paying us for.
- Communication: We'll email or call you about your project, send updates, answer questions, and occasionally share relevant info about sustainable design trends or building code changes that might affect you.
- Legal Stuff: Sometimes we need records for building permits, insurance requirements, professional liability coverage, or if there's ever a dispute (knock on wood).
- Improving Our Service: We look at how people use our website to make it better. If everyone bounces off our portfolio page, we probably need better photos, right?
Data Security Measures
We take security seriously - your project drawings and personal info are valuable. Here's what we do:
- SSL encryption for all data transmitted through our website
- Secure cloud storage with encryption for project files
- Regular backups of all client data
- Limited access - only team members working on your project can see your info
- Strong passwords and two-factor authentication on our systems
- Regular security audits and software updates
That said, no system is 100% hack-proof. We do our best, but if there's ever a breach, we'll let you know right away and work to fix it.
Your Privacy Rights
Under Canadian privacy law (PIPEDA), you've got rights. Here's what you can do:
Access Your Data: Ask us what information we have about you. We'll send you a copy within a reasonable timeframe.
Correct Errors: If we've got something wrong, let us know and we'll fix it.
Delete Your Info: Request deletion of your personal data, though we might need to keep some stuff for legal or contractual reasons (like completed project records).
Opt Out: Unsubscribe from our emails anytime. There's always an unsubscribe link at the bottom.
Data Portability: Get your information in a format you can take elsewhere if you want.
To exercise any of these rights, just shoot us an email at info@frosthalquinth.info or give us a call. We'll handle it within 30 days.
How Long We Keep Your Data
We don't hang onto your information forever - that'd be weird and wasteful. Here's our general approach:
- Active Projects: Throughout the project duration and for 7 years after completion (that's the standard for architectural records in BC)
- Inquiries: If you contact us but don't move forward, we'll keep your info for about 2 years in case you change your mind
- Marketing Emails: Until you unsubscribe
- Website Analytics: Aggregated data we keep indefinitely, but it's anonymized so it doesn't identify you personally
After these periods, we securely delete or anonymize your data unless there's a legal reason to keep it longer.
Updates to This Policy
Things change - laws get updated, we adopt new tools, whatever. If we make significant changes to how we handle your privacy, we'll update this page and let you know via email if you're an active client. The "Last updated" date at the top will always reflect when we last made changes.
We won't make changes that reduce your rights without giving you a heads up and getting your consent where required.
Questions About Privacy?
Look, we know this stuff can be confusing. If you've got questions about how we handle your information, concerns about your data, or want to exercise any of your privacy rights, just reach out. We're real people who'll actually respond.
